Club Photo Entries on Photovault Online

The Bloemfontein Camera Club is planning to make use of on line submission of photos for the club. This will make the tasks of the Digital Chairman and the Score Keeper much easier.

We are planning to make use of the on line system – PhotoVault Online. This is a very user-friendly system and is the system which is used for submission of salon photos.

In July the submission of photos will be done by e-mail (as has been done in the past). At this stage the idea is to switch to the online system for the August club evening.

So – you need to start getting to know PhotoVault Online

Steps to follow:

Step 1 – Registration

When you open the PhotoVault on line system – you will get a page with a number of links in the blue bar at the top of the page.

If you are not already a user on the system, you will first need to register. Click on the Register link. This will take you to the registration page. You will need to fill in a log in name (like your name!) and a password.

Under account type – you will be registering yourself

Your e-mail address is essential.

Please fill in your club star group. This is very important – or you photos will end up in the incorrect star group. It is also very important that you update your star group when you get promotion in the club.

Once you have filled in all the fields – click on register.

An e-mail will be sent to you once you registered. You will need to open this e-mail and click on the link in the e-mail. This will take you back onto the Photovault Online system to complete the registration process.

Step 2 – Upload Photos onto the System.

Open PhotoVault online http://www.photovaultonline.com

Click on Login

Complete the log in by using the user name and password you created in the registration process

In the blue bar at the top of the page there are a number of links:

The two important links are

My Photo Vault

My Entries

You will first need to load your photos onto the system. To do this click on “My Photo Vault”

This will bring you to a page with all of the photos you have on the system. If you are just starting you will obviously not have any photos on the system.

Click on the link “Upload new photos”

This will bring you to the page to upload the photos.

There is a “browse” link. When you click on this – you can search for the folder on your computer where you have the photos you are going to enter.

Double click on the photo you want to upload.

Give the photo a name and click on Submit

NB – the size of the photos is the same as for the club – eg 1024 x 768 and not more than 500 kb. If the dimensions of the photos are not correct – the photos will not load.

Once you have uploaded the photos it will be visible on your page.

(Just a comment – only you can see these photos – you have to log onto the system to be able to see the photos and only you have the password)

Step 3: Entering Photos for the Club

Click on the “My entries” link in the blue bar

There will be a number of options like:

Salons - for entry into salons

Club – for entry into club

PSSA specific – for PSSA entries – like panel entries

Other

My entries archives – record of your entries.

Click on “Clubs”

This will give you a list of options – look for Bloemfontein Camera Club and click on that. This will give you a bar saying “Go to My Event Entry” - click on that.

This will take you the Bloemfontein club entry page.

You will see that there are three categories (just like we currently have in the club – Nature, Open and Set Subject.

Click on the category you want to enter – like nature. You will have the page with the photos you have entered onto the system on this page.

Just click on the photo you want to enter.

You can enter three photos in total (just like currently at the club). These photos can all be in one category or can be in both categories (in other words you can enter one photo in nature and two photos in open – or any other combination – just as long as you only enter three photos.

You can enter two photos into the “Set Subject” category.

Once you have entered a total of 5 photos you will see a link “Back to my entry overview” Click on this

This will bring you back to the entry page. On this page there is a link called “Finalise my Entry”

Very important – you must click on the “Finalise my Entry” when you are finished – or your photos will not go through.

In summary – it is a very user-friendly system and it is the system which you need to submit photos for salons. This will be a big step forward in the club.
